How to Write a Cover Letter (That Gets Read)

By RuleForge · Updated June 2026 · 4 min read

Most cover letters are skimmed for 6 seconds or skipped entirely. Here is the 4-paragraph structure that makes yours worth reading.

Paragraph 1: The Hook (2 sentences)

Do not start with "I am writing to apply for..." Start with why you are genuinely interested and what makes you uniquely qualified.

Template
"When I saw [Company] was hiring a [Role], I immediately thought of [specific connection — a project, a shared value, something they did]. I have spent the last [X years] [doing exactly what this role requires], and I would love to bring that to your team."

Paragraph 2: The Proof (3-4 sentences)

This is the core. Pick ONE achievement that maps directly to the job description top requirement. Quantify it.

Template
"In my current role at [Company], I [specific achievement with numbers]. For example, I [quantified result with method]. This experience directly maps to what you need: [reference specific job description requirement]."

Paragraph 3: The Fit (2-3 sentences)

Show you understand their company and why you are a cultural/strategic fit.

Template
"What draws me to [Company] specifically is [genuine, specific observation about their work/culture/mission]. I thrive in [type of environment], and from what I have learned about your team, it sounds like a strong match."

Paragraph 4: The Close (2 sentences)

Keep it brief and confident.

Template
"I would welcome the chance to discuss how I can contribute to [specific goal]. Thank you for your time — I look forward to hearing from you."
